Senior Networking Events Specialist

PURPOSE OF POSITION:

Responsible for planning, producing and managing the Greater Omaha Chamber’s networking events and recognizing the accomplishments of members through two award recognition programs.

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

1.    Plan, produce and manage the details associated with the organization’s membership networking events and other events as requested.

·         General Networking Events

(Coffee & Contacts, Speed Networking, Quick Pitch, Meet Up with the President, etc.)

·         Business Excellence Awards VIP Reception

·         Holiday Open House

2.    Coordinate the advance planning for each event which includes: creating the theme/purpose of the event with appropriate team members (president, senior vp and events team) and the corresponding agenda; developing and monitoring the event timeline; booking the location, speaker and any other event needs; managing a volunteer committee as needed and collaborating with the marketing team to ensure the promotional materials (invites, ads, etc.) are accurate and on-point.

3.    Manage the pre-event execution process for each event which includes: all facility and vendor logistics (ex. venue contract, AV, food services, etc.); virtual event platform(s); coordination of all agenda details (ex. developing timing, chorography and floor layout); and collaborating with the marketing team on all communication materials (ex. script, programs, slide presentations, videos, etc.) so they are accurate, relevant and ready in a timely manner for event execution.

4.    Manage the day of event details to ensure an excellent event is delivered. This will include items such as working will facility and vendors on food service, technology and AV; directing and informing speakers, sponsors and honorees so they are well prepared and comfortable; coordination of general production and staging of the event; and troubleshooting whatever may arise.                                                                                                                                             

5.    Manage post event details including items such as recording attendance in organizations database, post event surveys, etc.

6.    Manage the Business Excellence Award recognition program.

·         Manage Selection Committee and Coordinate Scoring Process

·         Inform and Coordinate Details with Each Award Winner 

7.    Manage the Small Business of the Month recognition program.

·         Manage Selection Committee and Coordinate Scoring Process

·         Inform and Coordinate Details with Each Award Winner 

·         Attend monthly board meetings to maintain relationship with sponsor representative and act as liaison for award winner 

8.    Work closely with the special events director to monitor each event’s revenue and expenses with accuracy and integrity.

9.    Provide execution support for each signature event.

10. Perform other duties as assigned.


Expected wage range: $42,000 - $55,000

 

OTHER DUTIES AND RESPONSIBILITIES:

1.    Ability to post, cancel and manage database for event functions (registrations, sponsorships and other accessories.)

2.    Communicate effectively, providing timely response and updates

3.    Practice inclusivity in all business operations, keeping inclusion front of mind while planning and executing events.  Provide quality service and interactions to all members, committees, customers and vendors.

4.    Represent the Chamber with professionalism and integrity.

6.    Act as back-up to senior special events coordinator functions as necessary.

7.    Actively participate in diversity, equity and inclusion training in order to advance along one’s own journey of inclusion and acceptance.

SUPERVISORY RESPONSIBILITIES:

N/A

 

FISCAL RESPONSIBILITY:

All expenditures require approval of Senior Director, Special Events and the SVP of Business Development & Events.

 

QUALIFICATIONS:

To perform this job successfully, the individual must be able to perform each essential duty satisfactorily. The requirements listed should be representative of the knowledge, skill and/or ability required. EDUCATION AND RELATED WORK EXPERIENCE:

1.    Secondary education required. Four-year Marketing, Hospitality, or Events Planning-related degree preferred.

2.    At least two years’ experience in event planning and execution required.  Experience displaying a high attention to detail and organization is necessary.

 

CERTIFICATIONS, LICENSES, DESIGNATIONS:

Valid Driver’s License

 

OTHER SKILLS AND QUALIFICATIONS:

1.    Superior organizational, communication (written and verbal) and decision-making skills.

2.    Demonstrated high attention to detail while learning quickly in a fast-paced environment.

3.    Self-starter with ability to prioritize multiple, complex projects with minimal supervision while meeting challenging deadlines and taking ownership of assigned work.

4.    Demonstrated ability to positively work with diverse individuals and maintain good relationships.

5.    Ability to remain calm under high pressure situations.

6.    Ability to work in a team environment.

7.    Professional appearance and demeanor.

8.    Knowledge of hospitality industry is preferred.

9.    Familiarity with Chamber and community events is preferred. 

10. Proficiency with Microsoft Office products including Word, Excel, Publisher, PowerPoint and Outlook, as well as in database setup and management. Ability to use general office equipment.

11. Willingness and ability to work flexible schedule including early mornings, evenings and some weekends.

12. Must be able to drive and/or provide own transportation.

 

Physical Demands

1. Typical office environment. Frequent sitting, standing and walking.

2. Ability to lift, pull or push up to 20 pounds for events preparation and tear-down.
