Senior Director, Special Events

PURPOSE OF POSITION:

Lead the Greater Omaha Chamber’s Special Events team and direct, coordinate and execute each signature and networking event.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

1.     Plan, produce and manage the details associated with the organization’s signature events (Annual Meeting, YP Summit, Omaha Business Hall of Fame Gala, Business Excellence Awards, Business on the Green, The Conference on Opportunity, Diversity and Equity, and Economic Outlook) and membership networking events (General Networking Events and Holiday Open House) and other events as requested. 

2.     Direct and coordinate the advance planning for each signature and networking event which includes: determining format (virtual vs. in-person), creating the theme/purpose of the event with appropriate team members (president, senior vp and event team members) and the corresponding agenda; developing and monitoring the event timeline; securing the location, speaker and any other event needs; and collaborating with the marketing team to ensure the promotional materials (invites, ads, etc.) are accurate and on-point.

3.     Manage the pre-event execution process for each signature and networking event which includes: all facility and vendor logistics (ex. venue contract, AV, food services, etc.); virtual event platforms; coordination of all agenda details (ex. developing timing, chorography and floor layout); and collaborating with the marketing team on all communication materials (ex. script, programs, slide presentations, videos, etc.) so they are accurate, relevant and ready in a timely manner for event execution.

4.     Manage the day of event details to ensure an excellent, high-quality event is delivered. This will include items such as working with facility and vendors on food service, technology and AV; directing and informing speakers, sponsors and honorees so they are well prepared and comfortable; coordination of general production and staging of the event; and troubleshooting whatever situations may arise.

5.     Work with the senior vice president in developing each event budget. Monitor closely each event’s revenue and expenses and communicate with management team to provide regular updates.

6.     Post, cancel and manage database for event functions (registrations, sponsorships and other accessories).

7.     Work with the senior vice president in securing event sponsors and other associated fund-raising.  Provide back-up detail and management of those relationships.

8.     Oversee work of a full-time special events manager and senior special events coordinator and others as needed, on above responsibilities.

9.     Perform other duties as assigned.

Expected wage range: $77,000 - $90,000

 

SUPERVISORY RESPONSIBILITIES:

1.     Planning, assigning and directing work of full-time special events manager and full-time special events coordinator. Responsible for the direction and development of all direct reports.

 

FISCAL RESPONSIBILITY:

1.     Responsible for managing approximately $1,000,000 in revenue.

2.     Manage all special events budgets with integrity and accuracy.

3.     All expenditures require approval of Vice President.

 

EDUCATION AND RELATED WORK EXPERIENCE:

1.     Secondary education degree required.

2.     At least five years’ experience in event planning and execution required. Experience showing a high attention to detail and organization preferred.

 

CERTIFICATIONS, LICENSES, DESIGNATIONS:

Valid Driver’s License

8.     Represent the Chamber with professionalism and integrity.

9.     Demonstrate proficiency with Microsoft Office products including Word, Excel, Publisher, PowerPoint and Outlook, as well as in database setup and management. Ability to use general office equipment without supervision.

10. Act as back-up to events manager and special events coordinator functions as necessary.

16. Familiarity with Chamber and community events is preferred.  

17. Willingness and ability to work flexible schedule including early mornings, evenings and some weekends.

18. Must be able to drive and/or provide own transportation.
